Why Page Numbering Goes Wrong in Word

Almost every page numbering problem in Word traces back to the same source — section breaks and how page numbering is configured within each section. Understanding this makes every fix straightforward.

Word divides documents into sections. Each section can have its own page numbering settings — its own format, its own start number, and its own header and footer content. When section breaks are placed incorrectly, or when page numbering settings within a section have been changed without intention, numbers restart, show the wrong format or behave unexpectedly.

Before you start fixing. Turn on formatting marks by pressing Ctrl + Shift + 8. This shows all section breaks as double dotted lines labelled “Section Break (Next Page)” or “Section Break (Continuous)”. You cannot diagnose page numbering problems without seeing where section breaks are placed.

Fix: Page Numbers Restarting Mid-Document

This is the most common page numbering problem. The document is numbered correctly for several pages and then suddenly restarts at 1 — usually because a section break has its own numbering settings overriding the sequence.

Turn on formatting marks (Ctrl + Shift + 8) and locate the section break just before the page where numbers restart.

Double-click the footer on the page where numbering restarts to enter footer editing mode.

Right-click the page number and select Format Page Numbers.

In the Page Number Format dialogue, change Start at to Continue from previous section. Click OK.

If the section break is not needed. If the section break was inserted accidentally, delete it entirely by clicking on it and pressing Delete. The two sections will merge and numbering will continue from the previous section automatically. Check the result carefully — deleting a section break can affect headers, footers and page orientation.

Fix: Page Number Showing on Cover Page

Cover pages, title pages and report front pages should not display a page number — even if the page is counted in the sequence. Word has a dedicated one-step setting for this.

Double-click the footer on the first page to enter header and footer editing mode.

In the Header & Footer Tools ribbon, tick Different First Page. The page number disappears from the first page.

Close the footer. Page 1 is still counted in the sequence — the number is simply not displayed. Page 2 will show as 2.

If you want page 2 to show as page 1. After enabling Different First Page, double-click the footer on page 2 and go to Insert → Page Number → Format Page Numbers. Set Start at: 1. This makes the second page display as page 1 while the cover page remains unnumbered.

Fix: Page Numbers Showing the Wrong Number

If page numbers are displaying the correct sequence but starting from the wrong number — for example showing 5, 6, 7 when they should show 1, 2, 3 — the Start at value in that section’s page numbering settings needs correcting.

Select Continue from previous section if you want the numbers to flow from the previous section. Or set Start at: 1 if this section should independently start at 1. Click OK.


Fix: Wrong Number Format in a Section

If a section is showing Arabic numbers (1, 2, 3) when it should show Roman numerals (i, ii, iii) — or vice versa — the section’s page number format needs to be set independently of the adjacent sections.

Check whether Link to Previous is active in the Header & Footer Tools ribbon. If it is highlighted, click it to deactivate it. This allows the section to have its own independent numbering format.

Go to Insert → Page Number → Format Page Numbers. Select the correct format from the Number format dropdown. Set the start number and click OK.

Link to Previous explained. When Link to Previous is active, the footer inherits its content and formatting from the previous section — including the page number format. Deactivating it breaks that link and allows the section to be formatted independently. Always check this setting first when a section shows the wrong format.

Fix: Page Numbers Not Updating After Content Changes

If you add or delete content and the page numbers do not update to reflect the change, the most likely cause is that the numbers were typed manually rather than inserted using Word’s page number tool.

How to tell if your page numbers are manual or automated:

If the numbers are manual: Delete all manually typed page numbers from every footer. Then go to Insert → Page Number and insert automated page numbers. They will update automatically whenever content changes.


How to Use Different Formats in the Same Document

Place your cursor at the start of the page where the format should change. Go to Layout → Breaks → Next Page to insert a section break.
